Since its founding over a decade ago, Maliasili has built a portfolio of roughly 55 partners working across over 64 million hectares of critical landscapes and ecosystems in seventeen countries. We have helped our partners generate or leverage more than $27.3 million in funding for their work, developed a growing set of tools to help improve their organizational performance, and supported many of our partners to grow their impacts in the field significantly. Our goals are to build a portfolio of Africa’s best local conservation organizations, help them collaborate and learn from each other, and scale up their community-based conservation work on the ground and their leadership capacity within the conservation field.
Your profile
The Finance & Compliance Associate plays a key role in ensuring Maliasili’s financial integrity, compliance, and operational accountability across the U.S. and Kenya. This position oversees insurance policies, supports payroll processing, and manages contractual and statutory compliance. This position ensures that insurance, payroll, and contractual processes run smoothly, efficiently, and in compliance with relevant laws and organizational policies. The Associate will work closely with the Manager – Finance & Administration and the Sr. Manager – Finance & Administration.
Roles and Responsibilities
Insurance Management
Maintain and update all organizational insurance policies (health, liability, travel, professional, etc.).
Coordinate renewals, claims, and policy reviews in collaboration with brokers and insurers in both the U.S. and Kenya.
Track coverage requirements for staff, offices, and programs to ensure alignment with donor and regulatory expectations.
Keep organized, current records of insurance documentation and communications.Ensure that the periodic insurance premium aligns with the organization’s General Ledger.
Notify the finance team of any changes in local laws that affect the insurance coverage.
Compliance and Reporting
Support compliance with statutory, donor, and organizational reporting obligations for both U.S. and Kenya operations.
Assist in preparing and filing annual returns and registrations (e.g., U.S. state filings, Kenya CR12, KRA, NSSF, and NHIF).
Compile and maintain documentation for audits, internal reviews, and donor reporting.
Support the implementation of internal control and compliance procedures.
Monitor evolving regulatory requirements to maintain organizational readiness.
Payroll Administration
Manage biweekly U.S. payroll, ensuring accuracy, timeliness, and compliance with applicable laws.
Review employee changes, benefits, deductions, and ensure proper documentation.
Support Kenya payroll processing with the Finance team, confirming timely statutory remittances.
Maintain strict confidentiality of payroll data and uphold compliance with labor and tax laws.
Contract Management
Draft, review, and track consultant, vendor, and other contracts in line with legal and organizational standards.
Maintain a central contract register and ensure timely renewals and closures.
Verify that contracts align with organizational standards, deliverables, and payment schedules.
Collaborate with finance and program leads to ensure full contract compliance.
Administrative & Cross-Team Support
Support accurate record-keeping in Dext, QuickBooks, Wingubox, and related systems.
Work with HR and operations teams to ensure onboarding/offboarding compliance.
Assist in documenting and improving finance and compliance procedures.
Provide administrative and logistical support during audits, reviews, and reporting cycles.
Engage in compliance discussions and serve as the primary coordinator to maintain Maliasil’s compliance framework.
Carry out regular compliance audits across Maliasili’s US and Kenya operations to evaluate financial policies and procedures, pinpoint gaps, and report results to supervisors.
CompetenciesThe successful candidate for this position will have the following skills and competencies:
Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
3–5 years of relevant experience in finance or administration, ideally in a cross-country NGO or nonprofit context.
Working knowledge of payroll and compliance in both the U.S. and Kenya (or willingness to learn).
Experience managing insurance policies and contracts.
Strong organizational, documentation, and analytical skills.
High ethical standards and respect for confidentiality.
Familiarity with online remote working platforms, such as Google Suite and Slack
A high degree of attention to detail, accuracy, and organization
Strong written and oral communication skills

Reporting and Supervision
The Associate – Finance & Administration reports to the Sr. Manager - Finance & Administration.
Location
This is a remote, work-from-home position, preferably located either in Kenya or the United States.
